Data Deletion Instructions

Complete guide to removing your data from ChannelIQ

Critical Warning

Data deletion is permanent and irreversible. This action will remove ALL organizational data including:

  • Complete dealer and distributor network information
  • All sales history and transaction records
  • Product catalogs and SKU data
  • AI insights and forecasting models
  • Financial records and commission calculations
  • User accounts and access permissions

Legal Retention Requirements

Some data must be retained for legal compliance (typically 7 years for financial records). This data will be archived and not accessible through the platform, but cannot be immediately deleted.

What Data Will Be Deleted?

Organization Data

  • Company profile and registration
  • Business contact information
  • Branding assets (logos, themes)
  • Organization settings

User Accounts

  • All user profiles and credentials
  • Role and permission assignments
  • User preferences and settings
  • Activity logs and audit trails

Dealer Network

  • Dealer and distributor profiles
  • Territory and hierarchy mappings
  • KYC documents and verifications
  • Performance history

Product Data

  • Product catalogs and SKUs
  • Pricing and discount structures
  • Inventory records
  • Product images and specs

Sales & Transactions

  • Sales orders and invoices
  • Transaction history (see note)
  • Purchase orders
  • Return and exchange records

Analytics & AI

  • AI models and insights
  • Forecasting data
  • Performance dashboards
  • Custom reports

Deletion Methods

Method 1: Administrator Portal

Organization administrators can initiate full account deletion:

  1. Log in to ChannelIQ with administrator credentials
  2. Navigate to SettingsOrganizationAccount Management
  3. Click "Delete Organization Account"
  4. Review the comprehensive warning and data deletion checklist
  5. Download backup copies of critical data (optional but recommended)
  6. Type your organization name to confirm
  7. Enter administrator password
  8. Check acknowledgment: "I understand this action is irreversible"
  9. Click "Permanently Delete All Data"
  10. Confirm via email verification link sent to administrator

Note: All organization administrators will receive email notification of the deletion request and have 48 hours to cancel if initiated by mistake.

Method 2: Email Request

If you cannot access the administrator portal:

Subject: ChannelIQ Organization Data Deletion Request

Include:

  • Organization name and account ID
  • Registered email address
  • Contact information for verification
  • Business registration documents (for verification)
  • Reason for deletion (optional)
  • Confirmation that you are authorized to make this request

We'll verify your identity and authority to request deletion. This process may take 5-7 business days for verification before initiating deletion.

Method 3: Customer Support

  1. Contact ChannelIQ support at support@xigmapro.com
  2. Request deletion assistance from your account manager
  3. Complete identity verification process
  4. Receive deletion checklist and backup guidance
  5. Authorize final deletion through secure process

Selective Data Deletion

If you don't want to delete everything, you can remove specific data:

Delete Individual Dealers

  1. Go to DealersDealer List
  2. Select dealer to remove
  3. Click "Delete Dealer"
  4. Confirm deletion

Delete User Accounts

  1. Navigate to SettingsUsers & Access
  2. Select user to remove
  3. Click "Remove User"
  4. Confirm removal

Delete Product Catalog

  1. Go to ProductsManage Catalog
  2. Select products or entire catalog
  3. Click "Bulk Delete"
  4. Confirm deletion

Deletion Timeline

Immediate (within 24 hours)

  • Platform access revoked for all users
  • Login credentials deactivated
  • API keys invalidated

Within 30 days

  • Active database records deleted
  • Dashboard and analytics data removed
  • User-generated content purged
  • Integration connections terminated

Within 90 days

  • Backup systems purged
  • Archived logs deleted
  • Cached data cleared

Legal Retention (7 years)

  • Financial transaction records (tax compliance)
  • Invoice and payment data
  • Audit trails for financial records
  • Data stored offline, not accessible via platform

Before You Delete

Recommended Actions

  • Export all data: Use our bulk export feature to download complete dataset
  • Settle outstanding payments: Complete all pending dealer payouts and commissions
  • Notify dealers: Inform your dealer network about the transition
  • Cancel subscription: Ensure billing is stopped to avoid future charges
  • Save reports: Download critical performance reports and dashboards
  • Disable integrations: Disconnect ERP, accounting, and third-party integrations

After Deletion

  • You'll receive email confirmation at each stage of deletion
  • Final confirmation sent once all data is purged from active systems
  • Refund for unused subscription (prorated) processed within 14 days
  • Certificate of data deletion available upon request
  • Can create new account anytime, but data cannot be recovered

What Cannot Be Deleted

  • Financial records required by law (7-year retention)
  • Tax documents and invoices
  • Legal disputes or pending investigations data
  • Aggregated, anonymized analytics (no personal identification)
  • Security logs for fraud prevention (anonymized after 2 years)
